Assistant to the Head of Office / Team Assistant for Caucasus, Central Asia & Ukraine
Provide dedicated support to the Head of Office in fulfilling his work plans. Draft various written reports, documents and communications, e.g. background papers, presentations, correspondence, etc., as well as Administrative notes, agendas and other relevant documents for workshops and conferences. As a Team Assistant under Communication Unit, provide A-Z logistical support for organizing international, regional and country conferences and workshops. Prepare workshop/meeting reports, internal weekly reports when needed. Provide support with translations and proofreading of publication materials. Maintain contacts with government officials, other UN agencies, non-governmental organizations, diplomatic missions, media, etc. As a Team Assistant, provide dedicated support to Information Management Unit. Responsible for base line data collection and secondary data review of disaster prone areas. Ensure consisted information flow and keep office team members updated on any developments. Monitor and adjust plans and actions of the team as necessary.
On a temporary base (six months) prepared invoices and Payment Orders, conducted inventory, provided back up for administration/finance unit.
Organised World Humanitarian Day in Almaty city, Kazakhstan with participation of government authorities (mayor of the city, Department of Emergency Situations, MFA and etc.), UN agencies, local and international NGOs, academy and mass media.
Provided administrative support to the World Humanitarian Summit (WHS) regional consultations in Tajikistan. Provided support to the WHS Secretariat with translations and proofreading of public information materials (English-Russian-English) for WHS in Istanbul.
Become familiar with humanitarian related topics (Transformative agenda, IACP, BCP, Civil military Coordination, needs assessments, inter-cluster coordination, etc.).
Become familiar with Humanitarian Pooled Fund (HPF) operations in Syria and Grants Management System (GMS) while on-job-training in OCHA Gaziantep HPF unit.
As professional photographer, prepare photos reports from different OCHA events for publication materials. Developed media monitoring concept paper.
